What we collect and why

Quote requests

When you send the quote form we collect your name, phone number, email, your truck's make, model and year, the VIN if you give it, and a description of the problem. We use this to get back to you with a quote. The shop gets an email alert and a notification on staff phones, and you'll usually get a confirmation email.

Customer and service records

When you bring a truck in, our staff record your name and contact details, your vehicles and VINs, invoices and line items, payment records, and photos or document scans from the job (for example vehicle photos and paperwork). We use these to do the work, bill you, keep your truck's service history, and keep our business and tax records.

Paying an invoice online

Online invoice payments are handled by Stripe Checkout. Your card number goes straight to Stripe. We never see or store full card numbers. We give Stripe your email, the invoice number and the amount, and Stripe tells us whether the payment went through, the amount, and similar payment details.

Emails

Invoices, receipts and quote confirmations are sent through Resend, our email delivery provider.

Error reports and server logs

When something breaks on the website, the admin website or the app, an error report goes to Sentry so we can fix it. These reports are set up not to include personal information and are scrubbed before they are sent. They may include technical details such as your browser or device type and the page where the error happened. We use your IP address, and a scrambled form of your email and phone number, to limit repeated quote requests and sign-in attempts and prevent abuse. Our hosting provider also keeps basic technical logs.

No tracking

This website has no analytics, no advertising trackers and no tracking cookies. We don't sell your personal information or share it for advertising. The only cookies we use are for staff sign-in on the admin website.

Our staff app and admin website

The admin website and mobile app are used only by shop staff, with accounts the shop creates. In the app:

• The camera is used to scan VINs, take job photos and scan documents.
• Face ID or other biometric unlock is handled entirely by the phone. We never receive biometric data.
• We store the phone's push notification token so we can send staff alerts.
• We keep records of sign-in sessions for security.

Who we share it with

We use a few service providers to run the site and the shop:

• Railway: hosting, database and file storage, in the United States
• Stripe: online card payments
• Resend: email delivery
• Sentry: error reports
• Expo: push notifications to staff phones, delivered through Apple and Google
• NHTSA's public VIN decoder: the VIN only

Otherwise we only share your information if the law requires it, to protect someone's rights or safety, or as part of a sale of the business.

Storage and security

Your information is stored in the United States. Connections to our website and apps are encrypted (HTTPS), access is limited to shop staff accounts, and we keep backups to protect against data loss.

How long we keep it

We keep customer, service and invoice records as long as we need them for your service history and for business, tax and legal record-keeping. Quote requests that don't turn into a job may be deleted once we no longer need them. If you ask us to delete your information, we will, unless we have to keep it (for example, tax records).
